These conditions govern all bookings made at River Cottage, Melverley (“the  cottage”)

You accept these conditions yourself and on behalf of all members of your party, whether you are booking as a guest or on behalf of others. In addition, by visiting or using our website, you agree to comply with the site terms.

  1. Making a reservation

– Reservations can be made for River Cottage, Melverley, either directly with the reservations team, via our website at rivercottagemelverley.com, by email to info@rivercottagemelverley.com, through Airbnb or Booking.com

– Reservations are more cost effective if booked directly with us than via a third party.

– Reservations can only be made by those older than 18 years old.

– To secure a reservation the following payment is required at the time of booking:

a) If you make a booking more than 8 weeks before your holiday date, you will be required to pay a Deposit equivalent to 30% of the total cost of your holiday. The balance will be due no later than 8 weeks before your holiday is due to start.

b) If you make a booking within 8 weeks of the start of your holiday, you will be required to pay for your holiday in full at the time of booking.

c) A Security Deposit in relation to any damages (where applicable)

– The Deposit that you pay in order to secure your booking is non refundable.

– We reserve the right to cancel your holiday and re-let any holiday where any payment due is more than 7 days’ late. In these circumstances you will not be entitled to any refund.

– Please ensure that all details on the reservation are complete and correct before confirming your stay as we will not be held liable for any inaccuracies in data.

– Once the reservation has been accepted, a confirmation email will be sent to the email address provided.

– If you believe that there is an error on the reservation, please contact us immediately.

  1. Pricing and Payment –

Pricing quoted will be the total cost for your stay. The price you pay is the price you are quoted at the time you complete the reservation.

– The pricing is for the entire Cottage, per night and for the number of occupants specified at the time of booking.

  1. Cancellations and Amendments 

-a) Cancellation by You

Should you need to cancel your booking the following terms apply:

a) If you cancel in the 14 days leading up to your stay, we reserve the right to retain any monies paid.

b) If you cancel between the date of your booking and up to 14 days before your stay, we will refund any monies paid

– Please ensure that you have the appropriate travel insurance in place to cover you in case of any cancellation.

– If you are forced to cancel your holiday because of adverse weather conditions, or any other major issue such as a World Health Organisation pandemic – insurance cover should allow you to claim for irrecoverable accommodation costs. We advise you to take out cancellation insurance and check the policy covers you for this eventuality.

b) Cancellation by River Cottage, Melverley. We reserve the right to cancel your reservation with us, in part or whole, if:

a) You fail to pay us when required

b) You breach any of these terms. The above forms of cancellation will happen with immediate effect and we will notify you either in person, by phone or email. Where your stay has/has not commenced the total payment made for the reservation will be deemed as a cancellation charge and is not for any service. Where it is caused by an event outside of our reasonable control (see Section 9) we may take the action to cancel your reservation to you by phone or email. We will provide a full refund of any payment made. This refund will be processed using the same method as it was received.

  1. Amendments

– All amendments are subject to availability and subject to an additional charge if there is a change in the pricing.

– Amendments can be made up to 14 days before the scheduled day of arrival.

  1. Arrival & Departure

– Check in for the Cottage is from 4pm on the scheduled date of arrival unless you have agreed an early check in agreed with the reservations team.

– Early check in is subject to availability and is charged at £10 per hour.

– Guests will be asked to provide proof of identity before check in. Acceptable forms of identification are a passport, driving licence, ID card or police warrant card.

– Check out for the Cottage is to be no later than 10am on the scheduled date of departure unless you have an agreed late check out with the reservations team.

– Late check outs are always subject to availability and are charged at £10 per hour.

– When checking out please ensure that you:

– Place any used towels on the bathroom floor and any used bed linen in a pile on the bedroom floor.

– Dispose of any perishable food.

– Ensure that all doors are locked, all windows are closed and all lights are switched off.

– Return the key to the key safe by the front door and ensure that the code is scrambled before sliding the weatherproof cover up.

– There is as a minimum, a roll of toilet paper in the bathroom, washing up liquid and basic cleaning products provided. This is a starter pack designed to help until guests can get to the shops to purchase the usual household items required.

– There is a Welcome Folder in the Cottage with useful information about the cottage and some local information and brochures to help you find things to do. We also provide you with a link to our Digital Welcome Guide prior to your arrival. Information can also be found on your website.

– Any problem or complaint which you may have concerning your holiday must be reported immediately and directly to us during your stay and we will endeavour to put matters right. Any complaints not reported to us at the time of your stay and only reported after you have returned from holiday will not be considered by us.

  1. Your stay

– You must not exceed the maximum occupancy specified at the time of your booking.

– Any booking must not exceed 4 people.

– Visitors are permitted during your stay at the Cottage, however please be advised that there will be a charge of £15 per night per person if they are staying with you overnight. This is subject to the maximum occupancy of 4 people.

– We reserve the right to conduct checks on occupancy.

– Occupancy of the Cottage is not transferable. You may in no circumstances

re-let or sublet the property, even free of charge.

– Anyone found to be in breach of the maximum occupancy or found to have failed to pay for all occupants will be evicted from the property with no refund of unused nights stays.

– Candles are not allowed inside the Cottage due to the fire risk that they pose.

– River Cottage is a no smoking or vaping Cottage. There is a designated smoking area outside.

– You must not smoke or vape in the Cottage or interfere with the fire detection or fire safety equipment. In doing so, we may terminate your booking and reserve the right to take further action if deemed it necessary. We reserve the right to recover our reasonable costs should you breach this rule.

– You must not bring any potentially hazardous or dangerous items onto the premises.

– No parties or events. We reserve the right to terminate the booking without notice and without refund in case of a breach of this condition.

– Under 18s are not allowed to stay in the Cottage alone. We reserve the right to request valid photographic proof of identity and age.

– We reserve the right to refuse a booking without giving any reason.

– Any special requests made and add-ons are subject to availability.

– Pets (Please see Section 8 for further information)

– We shall not be liable for any temporary defect or malfunction of any equipment, machinery or appliance in the building or grounds.

– No compensation will be given for any temporary outage of electricity, oil, water, internet connection or television service.

– We are not responsible for the loss of any personal belongings or valuables of the guest(s).

– Guests are responsible for the safety and security of their children at all times. Never leave children without adult supervision. Please be very mindful that the Cottage adjoins the River Vyrnwy and therefore extra care should be taken to supervise children in this regard.

– Please park your vehicles in the designated parking spaces, ensuring cars do not block access to other properties. Parking is limited to 4 vehicles.

– Please respect the community and try to keep noise levels to a minimum, especially between 10pm and 8am.

– We reserve the right to terminate a holiday without compensation where the unreasonable behaviour of the persons named on the booking (or their guests) may impair the enjoyment, comfort, or health of others.

– Barbecue – please use the designated barbecue utensils and clean the barbecue and utensils after use.

In completing a reservation with River Cottage, Melverley, you are agreeing to not use the Cottage or its facilities to conduct any commercial activities, or any activities that seeks to gain profit without prior written consent from the reservations team. Failure to do so may result in the reservation being terminated and any money paid will be retained.

– You must not remove any property from the Cottage.

– You must not prevent the River Cottage management team, maintenance team or housekeeping team having access to the Cottage as and when it is required. The Housekeeping staff are permitted to enter the Cottage a minimum of once a week to have full access to the Cottage.

  1. Electric Vehicle & E-Bike Charging

– As the Cottage is set up on a domestic electrical system/circuit, it is not safe to use for car charging.

– Our insurance policy will not cover any fire caused by a car being charged using the Cottage’s electrical circuit. In addition, trailing leads are a trip hazard and a security hazard. The circuit being plugged into must be a dedicated circuit, and be protected by a 30MA RCD. Our Cottage does not conform to this requirement for car charging to be safe.

– You must NOT use the Cottage for charging an electric/hybrid vehicle from one of the internal or external electric sockets and/or trailing a lead out of any door or window.

– This is a condition of the letting as if anything happened as a result of an insufficient or faulty installation the insurance Liability Cover will not be valid. This applies to any damage caused to the Guest’s vehicle, the Cottage or as a result of any trip hazard associated with trailing car charging leads.

– Please use the nearest formally designated charging point as these are installed by a professional, certified installer and maintained in accordance with the manufacturer’s instructions.

– You must not charge your E-bike(s) in the Cottage or in the adjoining outhouse/farm buildings. This presents a fire risk and again our insurance policy will not cover any fire caused by this activity.

  1. Damages & Breakages

– Please treat the facilities and cottage with due care so that other guests may continue to enjoy them. If you notice something is missing or damaged in the Cottage, please let us know immediately so that we can take the appropriate action.

– If there has been any damage or breakages during your stay, we would be grateful if you could report them promptly, especially before check-out. The Cottage will be inspected at the end of the holiday and you may be charged for any loss or damage.

– Please do not move any furniture from one room to another.

– Please remove shoes upon entering the Cottage.

– Please lock the doors and close the windows when you leave the Cottage unoccupied.

– Please make sure you switch off lights, heating, or any electrical appliances when you go out – we are an eco-friendly Cottage.

– Please do not use any bath towels outside the Cottage.

– We reserve the right to make a charge to cover additional cleaning costs if you leave the Cottage in an unacceptable condition.

– Please note that if any keys issued are not returned at the end of your stay, the cost of replacement will be charged to you.

  1. Car Parking

– Car parking for up to 4 cars is available at the Cottage and is directly outside the Cottage.

– We shall not be liable in any circumstances for any loss or damage to vehicles you bring, or any personal property left in them.

  1. Pets

– Pets are only allowed by prior agreement with the Reservations team at River Cottage, Melverley.

– Only 2 pets are allowed at any one time.

– There is an additional cost of £40 per dog per stay.

– Young dogs (e.g. puppies less than 12 months’ old) must be declared to us at the time of booking and authorised by us

– Dogs must be under strict control at all times while in or at the Cottage.

– Pets are not allowed upstairs in the Cottage.

– Please do not let pets lie on the furniture, especially sofas and beds. We reserve the right to charge additional cleaning costs where this condition is breached.

– Guests are responsible for cleaning up after their pets.

– Owners will be responsible for paying for any damage caused by their pets.

– Dogs must not be left alone in or at the Cottage, or elsewhere at any time.

– You must ensure that your pets are free from parasites and fleas before they occupy the Cottage. Failure to do so may incur subsequent charges;

– Registered assistance dogs may be allowed to be brought into the Cottage; please notify the reservations team in advance of your scheduled day of arrival that you are intending to bring such dog(s) with you. We will require evidence of registration prior to making a booking.

– If any Guest has an allergy to dogs, please be aware that dogs do stay in the Cottage. Therefore we cannot accept responsibility for any suffering which may occur as a result of such animals having been present in the Cottage.

– If you break these terms, we may notify you that you have broken these terms and may cancel the booking and ask you to leave the Cottage before the end of the holiday period without compensation, or that you pay an additional reasonable charge.

  1. Literature and descriptions/amenities

– We have compiled the information on our Website as accurately as possible. However, facilities may be altered or withdrawn for reasons outside our control, in which case we cannot accept responsibility.

– We make every effort to ensure that the Cottage details are accurate and that the pricing and availability of the Cottage is correct. Mistakes may occur from time to time, and we reserve the right to rectify errors (including any pricing errors) within 5 business days of you making your booking.

– Please note that the provision of Wi-Fi is subject to availability and network conditions. It may not be available 24 hours a day and is provided for leisure, not business, purposes.

– The Cottage is a Grade II listed barn conversion and dates back over 100 years to 1841, remember that much of its character and charm is due to its age. It was built long before the days of damp proof courses and cavity walls, so may show signs of damp, particularly in long spells of wet weather. If you have any concerns, please talk to us at the time of making your booking. Also, please remember that should traditional property features (steep stairs or low beams, for example) be a problem for any member of your party, you must consider and mention this prior to booking.

– Please remember that properties in the countryside do attract spiders and therefore cobwebs. It does not mean that the Cottage is dirty or has not been cleaned, as cobwebs can be spun almost as quickly as they have been cleaned away. Please be tolerant of the sounds and scents that you may encounter, they are all a part of the countryside experience.

– Confirmation should be requested prior to booking if there is any particular detail or facility that is important to you. When you make a booking you accept that minor differences between text/photographs/illustrations in the brochure and on the Website and the actual Cottage may arise. We cannot accept responsibility should the Cottage not conform to your standards.

  1. General

– We reserve the right to make reasonable amendments or additions to these terms from time to time without notice.

– The terms that are applicable to your reservation are the ones that were in force at the time the reservation was made.

– Events beyond our reasonable control: Events that we deem are beyond our reasonable control, include, but are not limited to flood, earthquake, extreme adverse weather conditions, natural disasters, other acts of God, acts of terrorism, partial or full cancellation or delay of major public event, interruption or fire (except by way of our default) or failure of (except by way of our default) electric power, oil, water, or other utility service, plant machinery, computers, vehicles or any collapse of building structures

– Our Liability:

We are responsible for River Cottage, Melverley, subject to the following conditions:

– All warranties, conditions and other terms implied by statute or common law or otherwise are, to the fullest extent permitted by law, excluded from any contract with us and these Conditions shall apply in their place. However, nothing in these Terms and Conditions will affect your statutory rights if you are a consumer. Nothing in these terms and conditions limits or excludes our liability for death or personal injury resulting from negligence; or misrepresentation by us, or any liability that cannot by law be excluded.

– Subject to the limitations set out in these Terms and Conditions and to the extent permitted by law, we shall only be liable for direct damages actually suffered, paid or incurred by you due to an attributable shortcoming of our obligations in respect of our services, up to an aggregate amount of the cost of your reservation as set out in the confirmation email issued by us (whether for one event or series of connected events)

– If your booking is for, as, or on behalf of a business or business employee, that business shall indemnity us against all liabilities, costs, expenses, damages and losses (including any direct or indirect consequential losses, loss of profit, loss of reputation and all interest, penalties and legal and other reasonable professional costs and expenses suffered or incurred by us arising out of or in connection with your, or your businesses’ breach or negligent performance or non-performance of these Terms and Conditions. If your booking is for, as or on behalf of a business or business employee, our total liability in contract, tort (including negligence or breach of statutory duty), misrepresentation, restitution or otherwise arising in connection with the performance or contemplated performance of your booking shall be limited to the fees paid to us under your booking.

– Privacy and Data: We respect your right to privacy. When you book directly with us your details are protected by us and are used for booking purposes only.

– Any personal information, which you volunteer to River Cottage, Melverley reservations team, will be treated with the highest standards of security and confidentiality, strictly in accordance with the Data Protection Act 2018.
